What the research says
The best-known study on this was published in Harvard Business Review in 2011. Looking at more than a million leads across thousands of companies, the authors found that firms that tried to contact a lead within an hour were nearly seven times as likely to qualify that lead as firms that waited even one more hour, and far more likely than firms that waited a day. Yet many companies took longer than a day to reply at all. You can read it at The Short Life of Online Sales Leads.
The study was not only about real estate, but the pattern fits what agents see every day. Someone browsing listings at 9 pm is interested right now. By the next morning they may have spoken to another agent, or simply moved on.
Why real estate leads cool so quickly
- Buyers inquire with several agents at once. Portal leads often go to more than one agent, and the first useful reply sets the relationship.
- Interest peaks at the moment of the inquiry. They are looking at the listing right now, with questions in mind.
- Evenings and weekends are prime time. That is when people browse, and when most agents are off.
What a good first reply looks like
- It arrives within minutes, not hours.
- It mentions the property or search they asked about.
- It offers something useful: similar listings, an answer to their question, or a time to talk.
- It asks one simple question to keep the conversation going.
How to answer every lead fast
- Route leads to whoever is available, not just the agent of record, and set a target reply time.
- Use saved replies for the most common inquiry types, edited to sound like you.
- Cover the off-hours. A human ISA covers set hours. An AI ISA covers the rest, replies in minutes and hands you the conversation when the lead is ready.
- Measure it. Check your CRM's first-response time each week. What gets measured gets faster.
Speed alone does not close deals, but slowness loses them. Getting the first reply right is the cheapest improvement most teams can make.
